Purchasing and subcontractors: every order belongs to a site

In construction, most of the cost sits in purchasing and subcontractors. In Lean, every order, every subcontract assignment and every purchase invoice is linked to the project it is needed for. So you know per site what has been ordered, delivered and invoiced.

Supplier prices you can rely on

For each item, Lean keeps one or more suppliers with their price: gross price, discount, net price, purchase unit and conversion factor. You import new price lists from a spreadsheet, with a check before they are processed.

The Price evolution report shows how your purchase prices move: per item in euros per unit, and per supplier and per item group as an index. You see which supplier became more expensive, regardless of what you happened to order more or less of.

Ordering for the site

  1. 1
Request a priceFrom the selected lines of an order, you request a price from a supplier.
  2. 2
OrderOr you create a purchase order straight away, reserved for that order and that project.
  3. 3
Adjust along the wayThe buyer adjusts quantities, prices and delivery dates, on the phone too.
  4. 4
ReceiveWhatever arrives, the warehouse books in with a scan field on phone or tablet.
  5. 5
Follow up on the projectNext to sales, the project shows purchase requests, purchase orders and purchase invoices.

Because the purchase price is kept on every purchase line, you see a price rise against the quote at the moment you order.

Subcontractors: assignment, schedule and contract

In Lean, a subcontractor is a partner with the types of work they carry out. For each work order, you choose the subcontractor from those eligible for that work. Their assignment and cost sit on the project, so they count in job costing.

In their portal, the subcontractor sees their projects, their work orders in a calendar and a schedule, the documents and information for the assignment, their notifications and their item prices. They sign contracts digitally, and the signed document goes onto the file.

What they can see is defined in advance: only their own work, never your margins or internal notes.

Purchase invoices: read in, link, approve

Incoming invoices from suppliers and subcontractors are read in, including those that arrive via Peppol. You link them to the supplier, the project and the order.

Then comes an approval round. Approvers take their turn one after another, for example first the site manager and then the managing director. Each one approves, rejects, asks a question or puts the invoice on hold. A rejected invoice goes back to the start.

Accounting integration and e-invoicing

You create sales invoices and progress claims in Lean. Outgoing invoices are sent via Peppol. For each invoice you see the status that comes back, and an invoice that did not arrive can be sent again.

Your accounts stay in your accounting package. Lean passes the invoices on, among others to Exact, Bob (Sage), WinBooks, Octopus, Venice and Yuki.

What information does a subcontractor need?

A subcontractor can only start with the right drawing, the right dimensions and the site arrangements. IRP links that information to their step, shows what is still missing and who has to supply it. What they see in their portal is the information that belongs to their work order.

Frequently asked questions about purchasing and subcontractors

Can a subcontractor see their own schedule?

Yes. In their portal they see their work orders in a calendar and a schedule, with the documents for the assignment.

Can the site manager approve purchase invoices?

Yes. You set up an approval round; approvers take their turn one after another.

Does Lean work with Peppol?

Yes. Outgoing invoices are sent via Peppol, with a status per invoice. Incoming Peppol invoices are read in.

Can I import supplier price lists?

Yes, from a spreadsheet. Lean checks the lines before processing them.
