Purchasing and supplier management in your ERP

With purchasing in Lean ERP you order from your suppliers based on the work the goods are needed for. From price request to receipt and purchase invoice, everything stays linked to the file.

Who supplies what, at what price?

For each item you record which suppliers you can buy it from.

Suppliers per itemPer supplier: the supplier's item number, purchase unit and conversion factor, gross price, discount, net price, currency, minimum quantity and lead time.
Preferred supplierOne supplier per item is the favourite. A purchase proposal starts from that supplier.
Delivery slotsPer warehouse and per supplier, the days and hours when deliveries are accepted.
Supplier conditionsLean can hold back an order that does not meet the supplier's conditions, such as a minimum quantity.

How does a purchase order come about?

  1. 1
Price requestYou ask one or more suppliers for prices and lead times, as a purchase quote in Lean.
  2. 2
From the sales orderYou select lines on a sales order and turn them into a reserved purchase. The goods that come in are already earmarked for that order.
  3. 3
From the requirementThe purchase simulation shows per item and per supplier what needs to be ordered to cover open orders and minimum stock. You decide and place the order.
  4. 4
OrderingThe purchase order goes to the supplier as a PDF or by email. Comments and costs from the sales order can be carried over.

Receiving in the warehouse

The warehouse operator receives the goods with the mobile receiving screen: he scans or looks up the purchase order, books per line what comes in and chooses the stock location. For each receipt he records the lot number, the best-before date and, where needed, a container or label.

If less arrives than was ordered, the rest stays open as a backorder. Goods in transit are shown separately. After receipt the stock is correct, and the sales order can see that its goods have arrived.

Purchase invoices

In Lean, purchase invoices sit next to sales invoices, with their own list and follow-up. Incoming invoices can arrive through the document inbox and go through an approval round: the invoice moves from approver to approver, who can ask a question or reject it. Then it goes on to your accounting.

What is standard and what we set up

As standard, Lean ERP includes suppliers per item, purchase quotes, purchase orders, reserved purchases from the sales order, the purchase simulation, receipts with lot and best-before date, and backorders.

Set up at the start: your suppliers and their prices (often through an import), the PDF and email to the supplier, and the choices per company: cost centre mandatory, what is carried over from the sales order, whether a quick receipt is enough. Links with suppliers and wholesalers are something we look at together.

Does the buyer know when he can order?

Sometimes an order can only go out once a choice has been made or a drawing approved. With IRP you see per process step which information is needed and what is still missing, so nobody orders to a measurement that is still going to change.

Frequently asked questions

Can I manage several suppliers per item?

Yes. For each item you record several suppliers with their item number, price, discount, unit, minimum quantity and lead time. One of them is the preferred supplier.

Can I order for a specific customer order?

Yes. From the lines of a sales order you create a reserved purchase. The goods received are then earmarked for that order.

Does Lean show what I need to order?

The purchase simulation shows per item and per supplier what is needed for open orders and minimum stock. The decision and the order stay with the buyer.

Can I record lot numbers and best-before dates on receipt?

Yes. On receipt you record the lot number and best-before date per line, and choose the stock location.
