Invoicing software that starts from the file

With invoicing in Lean ERP you create invoices from what has been delivered or carried out, in the same file as the quote and the order. Lean sends the invoice, follows up the payment and passes it on to your accounting package.

How does an invoice come about?

  1. 1
DeliveryThe order is delivered. If you are in a hurry, you create the delivery and the invoice in one go.
  2. 2
To be invoicedAn overview of everything delivered and not yet invoiced, per customer and per order. You check the lines before you invoice.
  3. 3
Invoice or pro formaYou choose the invoicing entity and the invoice date, whether to split invoices and whether to close the order. A pro forma has no accounting effect and later becomes an invoice.
  4. 4
SendingYou look at the PDF and send the email straight away, with a text from your template that you can adjust per invoice.

Not every invoice is an ordinary invoice

Progress claimsFor projects invoiced in instalments: a progress claim per order or across several orders of the same customer.
Advance invoiceAn advance from the order, settled later.
Billing planFixed instalments or amounts invoiced according to a plan.
Credit noteFrom the invoice itself, with the same customer and lines as a starting point.
IntercompanyInvoices between your own sites or companies, grouped per month.
Several entitiesEach invoicing entity has its own VAT number, bank account, logo, numbering and terms of sale per language.

After sending

The sales invoice list has work views for the questions of every day: what still has to be sent, what is open or overdue, what has not yet been posted, which e-invoice did not arrive. Every view starts from the same filter, so you narrow down first and then switch view.

You read in payments from the bank and Lean suggests which open invoice they belong to, based on the invoice number or structured reference, the amount and the customer. You confirm. For customers with overdue invoices you send a reminder or a statement of account listing all open items.

Peppol and e-invoicing

Lean sends invoices via Peppol to customers who have a Peppol address. Invoices that did not arrive appear in a separate work view. Incoming Peppol invoices can also be received. Per invoicing entity you set whether Peppol is used.

Working with your accounting package

Lean creates the invoices; the accounting itself stays in your accounting package. Lean passes on the sales and purchase invoices, and you see per invoice whether it has already been posted. Lean works with Bob (Sage), Exact, Venice, Yuki, Octopus, Admisol and Wings, among others.

Lean is not an accounting package: the general ledger, VAT return and year-end closing stay in your accounting software.

What is standard and what we set up

As standard, Lean ERP includes invoices and pro formas from the delivery or order, credit notes, progress claims, the work views and passing invoices on to accounting.

Set up at the start: your invoicing entities (bank, logo, numbering, terms), the invoice layout, the email templates, the reminder periods, Peppol and the link with your accounting package. Which work views you see depends on that setup: no reminder period means no reminders, no Peppol means no Peppol view.

Frequently asked questions

Can I invoice via Peppol?

Yes. Lean sends invoices via Peppol to customers with a Peppol address, and shows invoices that did not arrive in a separate view. Peppol is set per invoicing entity.

Does Lean replace my accounting package?

No. Lean creates and sends the invoices and passes them on to your accounting package. The accounting itself stays there.

Can I invoice in instalments?

Yes, with progress claims, advance invoices and billing plans.

Can I invoice from several companies or VAT numbers?

Yes. Each invoicing entity has its own VAT number, bank account, logo and numbering. Invoices between your own entities are made as intercompany invoices.
