Installation software: one file from quote to job sheet, invoice and maintenance

Lean is installation software for installation companies with their own technicians and crews. Quotes, work orders, scheduling, the job sheet on the phone, invoicing and the installations at your customers all sit in one file. With IRP you see at every step which information is still missing.

Where do things get stuck today?

An installation company runs on a thousand small arrangements. Every arrangement that is not in the right place costs a trip, a phone call or an invoice line.

  1. The job sheet arrives on FridayOn paper, incomplete, and someone in the office retypes the hours and materials. What was forgotten is not invoiced either.
  2. The technician calls for the addressOr for the key, the drawing or the name of the contact person. The information existed, just not on his phone.
  3. The schedule depends on one personThe planner knows who goes where tomorrow. If he is away or someone calls in sick, the round of phone calls begins.
  4. Nobody knows the history of the unitWhen something breaks down, nobody knows what was replaced last year, or which contract the installation falls under.

One file, from request to maintenance

In Lean every project is a file. Each step continues with what is already there. Nobody starts again from scratch.

  1. 1
QuoteYour quote with items, labour and options. Once confirmed, it becomes the order in the same file.
  2. 2
PreparationWork orders per project step, with the materials required. What is missing, you order from your supplier.
  3. 3
SchedulingWork orders go to a crew or a technician, in the calendar, the weekly board or the Gantt chart.
  4. 4
ExecutionThe technician sees his work on his phone, records his hours, materials and photos, and completes the job sheet.
  5. 5
InvoicingThe recorded work is ready as lines to invoice. You create the invoice and pass it on to your accounting.
  6. 6
MaintenanceThe installation stays registered at the customer, with serial number, contract and the history of every call-out.

Know before leaving whether the job can go ahead

An installation rarely fails for lack of skill. It fails because something is missing: an approved drawing, access to the plant room, the building manager's consent, the inspection that has to happen before handover.

IRP links every process step to the information it needs. Per step you see what has come in, what is still missing and who has to supply it. Which steps and which information, we set up together with you, for your own type of work.

That way a job that cannot go ahead is spotted in the office, not when the van is already at the door.

For the technician: only what he needs on the road

The mobile job sheet is built for execution, not administration. The technician opens today's work, sees the customer, address and task, calls or starts the route with one tap, and presses start.

He records hours, materials and photos on site. When completing the job he sees what is still missing: a colleague who has not stopped yet, no photos, no note for the customer. The screens are available in Dutch, French and English.

There is no separate app to install: the job sheet runs in the browser of the phone or tablet.

For the office and the owner: the overview without phoning around

The planner drags work orders in the calendar or the weekly board, sees per crew and per day how much room is left, and who is absent. Work orders still to be scheduled wait separately.

Administration sees which work orders are complete and what there is to invoice. The owner sees per file where things stand: what is done, what is in progress and what is still waiting.

Our own software, set up around the way you work

Lean is our own software, developed in Deerlijk, Belgium. The people who guide your start-up know the code. That makes a difference when your way of working does not fit a standard package.

Your types of work, your checklists per job, your documents and the information each step needs are set up at the start. What is specific to your company, we discuss beforehand and build where needed.

Integrations

Your bookkeeping stays in your accounting package. Lean passes the invoices on, among others to Exact, Bob (Sage), WinBooks, Octopus, Venice and Yuki. Scheduled work orders can appear in the Outlook calendar of the assigned technicians.

Also suitable for

Lean works for installers in several trades. What differs per trade, you can read here.

Frequently asked questions about installation software

Which installation companies is Lean for?

For installers with their own technicians or crews on the road who want quotes, work orders, scheduling, invoicing and maintenance in one system. Think of electrical, HVAC, plumbing, solar and fitting companies.

Do my technicians need to install an app?

No. The mobile job sheet runs in the browser of the phone or tablet. The technician logs in and sees his own work.

Can I keep my accounting package?

Yes. You create invoices in Lean and your bookkeeping stays in your package. Lean connects with the common Belgian accounting packages.

Can Lean follow our own way of working?

Types of work, checklists, documents and process steps are set up around the way you work at the start. Because Lean is our own software, we can also build what is specific to your company.

How is this different from a plain scheduling tool?

Lean manages the complete file: quote, order, purchasing, work orders, hours, materials, invoice and the installations at the customer. Scheduling is one part of that file, not an island.
