Selling dwellings in property development: from brochure to deed

Selling the dwellings in a project needs two kinds of information: what you need to present the dwellings, and what the notary needs to complete the sale. In Lean every document is attached to the subdivision or to the plot, and for each dwelling you see what is already ready for the deed.

Why selling a project needs so much information

A prospective buyer wants to see the dwelling before it is built. So you produce visualisations, a brochure, technical sheets per dwelling type and a banner for the site. These documents apply to the whole subdivision, but they have to match what is built for each dwelling.

Then comes the legal side, per dwelling: the cadastral data, the EPC, the deed the notary draws up and all parties sign. Sales, project management and the notary each work with their own part. Whoever does not know which document is still missing for plot 7 only finds out when the deed is scheduled.

With IRP in Lean ERP you record the sale as the steps of a process, with per step the information that belongs to it. Below is an example of such a step plan. You can model your own processes in IRP.

Step plan: selling dwellings

An example of the groups and the information that belongs to them. The marketing documents belong to the subdivision, the legal documents to the plot of one buyer.

  1. Marketing and communicationThe material to present the dwellings to prospective buyers. It is made for the whole subdivision, and must match the technical data of each dwelling. This group includes the advertising banner for the subdivision, the detailed brochure with information about the dwellings, the documents with the technical specifications of the dwellings, the visualisations and scale models that give a clear picture of the dwellings, and the energy performance certificate per dwelling.
  2. Legal completionThe documents that officially complete the transfer of ownership of a dwelling. They are drawn up per dwelling and needed at the notary. This group includes the cadastral data of each dwelling and the final deed, drawn up by the notary and signed by all parties.

Subdivision, block and plot: the sale in the same file

The brochure and the visualisations belong to the subdivision. The EPC, the cadastral data and the deed belong to the plot, the dwelling of one buyer. In Lean the subdivision, its blocks and its plots form one structure, so every document is recorded once, at its level.

Sales and project management therefore work with the same file. Per plot you see which documents are in and which are still missing, including the buyer's choices that follow the sale. What is missing is shown as missing, not as an empty box.

In Lean you make quotes and extra work with quotes and sales, and invoices with invoicing. How that works for your projects is set up with you at the start.

After the sale: the buyer follows their dwelling in their own portal

Once the dwelling is sold, a long period of questions begins for the buyer: when is my kitchen coming, has my choice been passed on, when is the handover? In their own buyer portal they see their documents and their reports, each with its status.

A question or a problem is reported in the portal, with photos. At your end the report becomes a task on their plot, with the conversation as history. What was promised to a buyer is therefore kept with their dwelling, not in someone's mailbox. Read more about portals.

Frequently asked questions about selling dwellings

Which documents belong to selling the dwellings in a project?
