Quotes and sales in your ERP, from quote to delivery

In Lean ERP you create quotes and sales orders in your customer's file. An accepted quote becomes an order, and the order becomes a delivery and an invoice. Nobody retypes anything.

How do you put a quote together?

A quote starts from your own items and prices, not from a blank page.

Items and packagesYou pick items from your item master. Composite items and packages can have a fixed package price.
Price booksPrices, discounts, volume prices and margins per customer, customer group or project. The right price is there as soon as you add the line.
ConfiguratorFor made-to-measure products you answer a series of questions; the configurator builds and prices the lines.
Lines from ExcelA long list from a customer or a drawing can be imported as quote lines.
VersionsWhen the customer's request changes, you create a new version of the same quote.
DocumentsThe quote goes out as a PDF in your company layout, with your own texts before and after the lines.

From quote to order

  1. 1
ConvertWith one action the quote becomes an order. You choose whether prices are recalculated and whether only the selected lines are carried over.
  2. 2
PartnersThe order keeps customer, invoice address, delivery address and carrier separate. An order can also be invoiced to several parties.
  3. 3
Delivery datesPer line you see the requested and the confirmed delivery date, so one line can leave later than the rest.
  4. 4
Follow-upThe order sets the next steps in motion: a reserved purchase, a production order, the planning and later the invoice.

From order to delivery

You create the delivery from the order. If you have many small orders, you select several of them in the table view and ship them in one go. In the warehouse, picking is done with the mobile screens, per lot and in the order of the locations.

Whatever cannot be delivered in full stays open as a backorder. A return is created as a return order from the original order, so the goods go back into stock. With a credit limit per customer you can hold back new orders or deliveries while too much is outstanding.

An overview for sales and the back office

List, table and work listThe same orders as a list to search, as a table to sort and select, or as a work list to act straight away.
AnalysisA dashboard on the orders you filtered: by customer, by period, by item group.
History per customerWhen making a new quote you see what this customer bought before and at what price.

What is standard and what we set up

As standard, Lean ERP includes quotes, orders, price books, versions, conversion to order, deliveries, returns and the table view.

Set up at the start: your PDF layouts and texts, your price books, the configurator questions for your products and the settings per company: mandatory delivery date, which lines go to the order, how prices are recalculated when the quantity changes. These are choices in Lean, not separate programming.

Does your sales process work differently from what Lean provides as standard? Lean is our own software, developed in Deerlijk. Together we look at whether a setting is enough or whether something needs to be built.

Which information does the next step need?

A sold order is only ready to be carried out when everything is in: an approved drawing, a chosen colour, a confirmed measurement. With IRP you link each process step to the information it needs, and you see what is still missing before the work starts.

Frequently asked questions

Can I convert a quote into an order without re-entering everything?

Yes. With one action the quote becomes an order in the same file. You choose whether prices are recalculated and which lines are carried over.

Can I use different prices per customer?

Yes. With price books you set prices, discounts, volume prices and margins per customer, customer group or project.

Can I deliver an order in part?

Yes. Whatever cannot be delivered stays open as a backorder. Per line you see the confirmed delivery date.

Does Lean work with configurable products?

Yes. With the configurator you answer questions about the product and Lean builds the quote lines. The questions for your products are set up at the start.
