Exact Online integration with Lean ERP

You work in Exact Online and are looking for an ERP for orders, purchasing, production and planning? With the Exact Online integration you create invoices in Lean, and they arrive in Exact Online without retyping. Payments come back to Lean.

Which data goes to Exact Online?

The Exact Online integration is an online connection: Lean talks directly to Exact Online, with no files going back and forth.

Sales invoices and credit notesWith lines, VAT and due date, in the sales journal of the right administration.
Purchase invoicesInvoices you enter and check in Lean go to the purchase journal.
Customers and suppliersContacts go across to Exact Online. A contact that does not exist there yet can be created by Lean, if you allow it.
The invoice as a PDFIf you wish, the invoice PDF goes along, so your accountant sees the document in Exact Online.

In which direction?

Invoices and contacts go from Lean to Exact Online. Exact Online remains the accounting system: postings, the VAT return and the year-end close happen there.

Payments come back. What has been paid in Exact Online appears as the amount paid on the invoice in Lean. Your sales staff or project manager can see in Lean which invoices are still open, without looking in the accounts.

Several administrations in Exact Online

Do you work with several companies, each with its own administration in Exact Online? In Lean, each company is an invoicing entity. Each entity posts to its own administration, with its own journals.

A customer can have a different account number in each administration. Lean keeps that number per administration, and looks up an existing contact by VAT number before creating a new one. That way an invoice does not end up with the wrong contact.

Standard connection, and which version?

The connection with Exact Online is a standard connection in Lean. What differs per customer is the set-up: which administrations, which journals, whether Lean may create contacts and whether the PDF goes along.

The connection is built for Exact Online, the online version. If you use a locally installed Exact package, this is not the right connection; we look at that separately.

Conditions and limitations

A user with access to Exact OnlineWhen posting, that user signs in to Exact Online; Lean works with that user's rights.
Account numbers, or permission to createIf Lean may not create contacts, every customer on the invoice needs an Exact Online account number. If one is missing, Lean shows which customer still lacks a number.
Purchase invoice = its linesA purchase invoice only goes through if the header total matches the sum of the lines.
One run at a timeLean does not start a second posting run while one is in progress.
