Project management in your ERP, with one file per project

In Lean ERP the project is the file everything hangs on: quotes, orders, purchases, planning, tasks and invoices. Open the project and you see where it stands, without searching through five programs.

What hangs on a project?

Every document in Lean can be linked to a project, so the file grows along with the work.

SalesQuotes, orders, deliveries and progress claims for the project.
PurchasingPurchases and reservations ordered for this project.
PlanningThe phases and work orders of the project, with who works when.
TasksOpen tasks and agreements, with the conversation kept as history.
ContactsThe customer, the contact persons and the people responsible in your company: owner, account manager, project manager.
InvoicesWhat has already been invoiced and what is still open.

Where does the project stand?

The project dashboard groups everything per order: what has been sold, ordered and invoiced. Per order you see the figures and the status, and click through to the document itself.

In the ERP tab you see the project's chain as a tree: quote, order, stock, invoice. So you see where an order is stuck and what still needs to happen.

Large projects in parts

  1. 1
Sub-projectsA project can have sub-projects on several levels: a development with blocks and plots, a building with phases, a customer with several sites.
  2. 2
Overview across the treeBudget, costing and open items add up across all underlying parts. You look at the level you need.
  3. 3
Processes per levelPer level you create the process steps the project follows, for that level only or for all levels below it as well.

Budget, contract and actual costs

For projects with a budget you record the budget lines and follow them up next to the contracts with customers or subcontractors and the actual costs. The costing shows per heading the budget, the contract, what has been spent and what is still open.

Hours, materials and purchases booked to the project end up in the job costing. So at the end you know what the project really earned.

The customer follows along

Through a portal your customer or partner sees for themselves where their file stands: the steps, the planning, the documents meant for them. You decide what they get to see.

What is standard and what we set up

As standard, Lean ERP includes projects, the project dashboard, linking all documents to the project, tasks and contacts.

Set up at the start: the project hierarchy and phases if you need them, the budget and costing, the process steps and the choices per company: whether closed projects stay visible, and whether closing a project also closes its quotes and orders.

Which information is the project still missing?

With IRP, each process step of the project carries the information it needs: drawings, choices, certificates. For each part of the project you see how many documents are in and what is still missing.

Frequently asked questions

Can I see all the documents of a project in one place?

Yes. Quotes, orders, purchases, planning, tasks and invoices are linked to the project and sit together in the file.

Does Lean work with sub-projects?

Yes. A project can have sub-projects on several levels. Budget, costing and open items add up across the underlying parts.

Can I follow up the budget of a project?

Yes. You follow up budget, contracts and actual costs per heading in the project's costing.

Can my customer follow the project?

Yes, through a portal. You decide which steps and documents they see.
