Planning software for your jobs, teams and people

With planning in Lean ERP you schedule the work of every file: who does what, when and where. Per file, per team and per person, in the same system as your quotes, orders and invoices.

What do you plan?

The building block of the planning is the work order: one step in a file.

One work order per stepSurvey, delivery, installation, maintenance: each step is a work order on the file, with a type, a colour, hours, and a planned start and end.
Team and peopleYou assign a team; the members of that team are added to the work order. You can also fix an individual in place.
To be plannedWork orders without a date sit in a separate "To be planned" list. You drag them into the calendar.
Confirmed to the customerA date confirmed to the customer gets a padlock. Work orders that have started are locked.
ExecutionStarted, stopped, finished: the actual start and stop sit next to the planned ones.

The same planning, five ways of looking at it

  1. 1
CalendarA monthly calendar of the work orders; dragging moves the date.
  2. 2
Week per team or per personEach team or each person in its own column, side by side, like calendars in Outlook. You choose which columns and in what order, and save that as a favourite.
  3. 3
GanttAll the steps of a file as bars, with the dependencies between them. If you move a step, Lean reschedules the steps that depend on it.
  4. 4
CapacityPer team and per day: available hours minus planned hours, with a weekly total. Green means room, red means overbooked.
  5. 5
MapThe work orders on a map, so you can plan sites in the same area together.

What does the team see?

Employees see their work orders on their phone: address, time and assignment. They start and stop the work order, record the materials used, take photos and close it. In the workshop, a tablet on the wall can serve as time registration: the employee picks his work order and starts or stops it.

If you work with Outlook, the scheduled work orders can appear in the Outlook calendar of the assigned employees. That synchronisation runs one way: from Lean to Outlook. Subcontractors can see the planning of their own steps in their portal.

And production planning?

This page is about planning people and teams in your files: sites, assembly, service calls, surveys. Planning production orders on workstations and machines, with bills of materials and material requirements, has its own page.

What is standard and what we set up

As standard, Lean ERP includes work orders, teams, the calendar, the weekly planning, the Gantt with dependencies, capacity, the map and the mobile work order.

Set up at the start: your teams and employees, their available hours, the types of work order with their colours, the process model with its steps and dependencies, and if you wish the Outlook synchronisation. Whether machines or weekends are included in the planning is a choice per company.

Can this step start?

A team should not set off to a site where the materials have not yet been delivered or the measurement has not been confirmed. With IRP you see for each step in the file which information is needed and what is still missing, before the day of execution.

Frequently asked questions

Can I plan per team and per person?

Yes. The weekly planning shows each team or each person as a separate column. You choose which columns you see and save that choice as a favourite.

Does the planning take dependencies between steps into account?

Yes. In the Gantt the dependencies between the steps of a file are defined. If you move a step, the dependent steps are rescheduled.

Can I see whether a team is overbooked?

Yes. The capacity view shows per team and per day the available hours minus the planned hours.

Can work orders appear in Outlook?

Yes, scheduled work orders can appear in the Outlook calendar of the assigned employees. The synchronisation runs from Lean to Outlook and is set up per company.
