Time registration and digital work orders

Where did the hours go? With time registration and digital work orders in Lean, your people's hours land on the work order they worked on, and through that work order on the project.

Why hours often get lost

In many companies, hours are retyped at the end of the week from paper or from memory. Nobody knows exactly how much time went into which job, and the invoice or the job costing is only half right.

In Lean, your employee registers his hours at the moment itself, on the work order he is working on. The office sees them straight away and has nothing to retype.

Register hours where the work happens

Time clock on the shop floorOn a phone, tablet or touchscreen, the employee picks his name, sees his work orders for the day and starts or stops his work.
Hours per work orderEvery registration belongs to a work order, and that work order belongs to the project. So you know how much time went into each job.
Hours on tasksYou can also book hours on tasks, with the item and whether those hours are chargeable.
Checking at the officeAt the office you review and correct the hours: execution, breaks, loading and transport, with mileage. For a whole team you fill in the hours in one go.

The digital work order

A work order is more than hours. What was done, what was used, and what does it look like?

Photos: the employee uploads photos to the work order. They stay with the file, also for whoever continues the work later.

Materials: what was used or returned is recorded on the work order, next to what was budgeted and planned.

The work order as a document: the questions and checkpoints of the work order become a PDF work sheet.

Hand-over to invoicing: a completed work order is passed on to invoicing. Once it has been invoiced, it cannot simply be reopened.

Hours and planning belong together

Who works when, and in which team? In the staff planning you see per employee and per day where he is scheduled, with the option to copy a week. Hours land on the work orders the employee is scheduled on.

Planning, hours and work order form one whole: the planning says what needs to happen, the hours and the work order say what actually happened.

Why this belongs in your ERP

A separate time app gives you a list of hours. In Lean, the hours sit in the same file as the quote, the purchase, the planning and the invoice. So you can use them for job costing, for invoicing and for the next quote.
