Service scheduling for technicians, crews and vans

With Lean's service scheduling you plan work orders per crew, per technician and per day. You see who is available, where there is room left and which jobs still need to be scheduled. What you schedule, the technician sees on his phone.

What a planner wants to know every day

  1. What still needs scheduling?Work orders without a date wait separately in a "to be scheduled" tray, per type of work. You drag them onto a day.
  2. Who is available?Employees who are in a leave group that day are marked as absent when you assign them to a work order.
  3. Is there room left this week?Per crew and per day you see the available hours minus the scheduled hours. Red is overbooked, green is room, with a total per week.
  4. Where do we need to be tomorrow? The map shows the jobs of the chosen day, in the colour of the crew.

One schedule, several views

They are the same work orders, seen differently each time. A change in one view shows straight away in the others.

CalendarWork orders per day, week or month. Dragging gives a new date.
Weekly board per crewEach crew or each person in its own column side by side, like a planning board, but with the same data as everything else.
Gantt chartThe schedule per project manager, per customer, per type of work, per crew or per employee, also across several weeks.
CapacityA grid of crew by day with the balance of available and scheduled hours.
MapThe day's jobs on a map, coloured per crew.
ListAll work orders, filtered by period, customer, crew and status.

People, vans and machines

In Lean, everything you schedule is a resource: technicians, but also vans, aerial platforms or measuring equipment. Per work order you choose who and what goes along. A crew has a fixed make-up per day; someone you add by hand stays put if the crew changes.

Per work order you also record the planned hours, and whether the date has been confirmed to the customer. A confirmed appointment is visible in the list, so nobody moves it without thinking.

What the technician sees

On his phone the technician sees his own work, per day, as a list or a calendar. Per work order: customer, address, task, and the buttons to call or start the route. A map shows him where he needs to be that day.

Scheduled work orders can also appear in the Outlook calendar of the assigned technicians.

Recurring work and new requests

An annual inspection comes back every year. In Lean you copy the work order within the same file, with a new title, with an empty checklist or with last year's answers as a starting point. The new work order is ready to be scheduled.

Customers and subcontractors can see the schedule

Through the customer portal your customer sees the scheduled work orders on his projects. A subcontractor sees in his own portal the schedule of the work he carries out for you. Whoever asks when you are coming finds the answer themselves.

Scheduling what can really go ahead

A date in the schedule does not yet mean the work can start. IRP shows per step which information is needed and what is still missing: the drawing, access, materials, the inspection. You see in advance which job is stuck, not only once on site.

Frequently asked questions about service scheduling

Can I schedule per crew and per technician?

Yes. A work order gets a crew and the employees who go along. The weekly board shows the schedule per crew or per person.

Does the technician see a change straight away?

His work on the phone shows the current schedule every time he opens the list. Lean does not send a separate notification to his phone when something changes.

Can I schedule vans and equipment too?

Yes. Vans, machines and other equipment are schedulable resources, just like people.

Does the schedule work with our Outlook calendar?

Scheduled work orders can be sent one way to the Outlook calendar of the assigned employees. We set that up per organisation.
