Maintenance and service: every installation with its full history

With Lean's maintenance software you register the installations you fitted at your customers: serial number, type, location, contract and the date of the next action. Every call-out, every replaced part and every photo stays attached to that installation.

A breakdown, and nobody knows what happened last year

On a service call the searching begins. Which unit is fitted? When was the last service? Is this the same problem as last winter? Is it still covered by the contract? The answer is in a folder, a mailbox or in the head of one technician.

In Lean the answer is on the record of the installation itself.

The record of an installation

Each installation sits under the project or building of your customer.

IdentificationSerial number, description, type of unit, brand, model and manufacturer.
Where and whoThe location in the building, the person responsible and the supplier of the unit.
DatesPurchase, installation, end of warranty and end of life.
ContractStart, end and frequency in months of the maintenance contract.
Next actionThe date on which the next action is due. The list of installations can be filtered on it.

The history builds up as the work is done

When the technician records materials on his work order, he links them to the installation he used them on. On the record of that installation you then see per work order when work was done, by which crew, and which materials were used or replaced.

He takes photos of the installation on site, and they appear on the same record. If an installation is still missing, he adds it from the site with its serial number and description.

Besides the technical history, the record also keeps the conversation: notes from the office, the technician and the subcontractor, on one timeline.

Periodic maintenance and inspections

In Lean a service visit is a work order with a fixed checklist for that type of job: checks, measurements with their expected values, notes. The technician sees what is mandatory. From the completed checklist Lean produces a work order PDF.

For next year's inspection you copy the work order within the same file, with an empty checklist or with this year's answers as a starting point. The next action date shows you which installations are coming up soon.

From report to completed call-out

A report from the customer becomes a task in the file, with who handles it and by when. If a call-out is needed, it becomes a work order that is scheduled and carried out like any other job. The report stays linked to the installation, so it can be found later in the history.

The hours and materials of the call-out are then ready for invoicing.

What every call-out needs

In service, a lot depends on information that has to come from someone else: access to the plant room, a key, a certificate from a previous inspection, the customer's approval of a repair quote. IRP shows per step which information is needed and what is still missing.

Frequently asked questions about maintenance and service

Can I record a maintenance contract per installation?

Yes. The record of the installation holds the start, end and frequency in months of the contract, together with the next action date.

Does Lean create the service visits of a contract itself?

No. You see which installations are due through the next action date, and you copy the work order of the previous visit. How best to organise this for your contracts, we look at during the start-up.

Does the technician see the history on his phone?

Yes. From his work order he opens the installations of the project, and per installation the call-outs, the materials used and the photos.

Can I record reports from customers?

Yes. A report becomes a task in the file, linked to the installation, with the person handling it and the deadline.
