Digital work orders: hours, materials and photos from the site

With Lean's digital work orders, your technician records on site what he did: his hours, the materials used, photos and the answers to the checklist for that job. The office sees it straight away on the work order, and invoicing starts from the same data.

What changes compared with the paper job sheet?

How the work order works on the road

The mobile work order is built for execution. Few screens, large buttons, short labels.

  1. 1
My work todayThe technician sees the work orders he is scheduled on, per day: yesterday, today, tomorrow. One tap opens the work order.
  2. 2
Where and whatAt the top: customer, project, address and task. Calling, texting or starting the route is done straight from the work order.
  3. 3
Start, pause, stopHe presses start on arrival and stop when leaving. Loading and travel can be set up as separate statuses. If a crew leader may record the hours of his crew, you set that per organisation.
  4. 4
ExecutionProgress in steps up to done, a note for the team, photos and the materials used.
  5. 5
CompletionLean shows what is still missing: a colleague who has not stopped, no photos, no note for the customer. The technician writes a note for the customer and completes the work order.

Recording materials without a scrap of paper

The technician picks the materials from your own item list and enters the quantity. In the office, the planner sees per work order the usage, the returns, and what was budgeted and planned.

If you track installations at the customer, the technician links the materials to the unit he used them on. That way the history of that installation builds up as the work is done.

A checklist per type of job

A service visit needs different checks from a repair. Per type of work you define a checklist: yes/no checks, measurements with their expected values, free text. Mandatory points are marked, and the progress shows how many have been filled in.

From that checklist Lean produces a work order PDF, which you can e-mail from the work order. The checklists you need are set up together with you at the start.

From work order to invoice

Nobody has to retype what the technician records. The hours per employee and the materials of the work order are ready on the order as lines to invoice. Administration selects the lines, creates an invoice or pro forma, and passes it to the accounting package.

How your work is invoiced, on time and materials or at a fixed price, and which rates apply, is agreed at the start.

What the work order cannot know, IRP does

Sometimes the work cannot start: the drawing is not approved, access is not arranged, the inspection has not been requested. IRP shows per step which information is needed and what is still missing, so the office sees it before the technician sets off.

Frequently asked questions about digital work orders

Does the technician need to install an app?

No. The work order runs in the browser of the phone or tablet. The technician logs in and sees only his own work.

Does the work order work without internet?

The work order works online. In a place without signal, the technician records his data as soon as he has a connection again.

Can the customer sign the work order?

Yes, the customer can sign the work order. The signed work order is stored as a PDF on the work order. In the demo we show how this works for your type of job.

Which languages is the work order available in?

The screens of the mobile work order are available in Dutch, French and English.

Can hours be recorded without a phone?

Yes. On a tablet or touchscreen at the depot or workshop, each employee taps his own tile to start or stop.
